Speaker Guidelines
- The Speaker (the "Speaker") will attend and present a session lecture at Calgary City Teachers' Convention Association (CCTCA) on behalf of the Alberta Teachers’ Association (ATA) in Calgary, Alberta on February 15 and/or 16, 2024 (the "Event").
- Within a reasonable time prior to the Event, the CCTCA will inform the Speaker of the specific location and time that the Speaker will be presenting his or her session(s).
- Honorarium, more detailed information about honorarium can be found HERE.
- The standard honorarium offered will be $300/60 minute session, $600/half day workshop, $1,200/full day workshop.
- The ATA requires that the CCTCA provide the Calgary Board of Education and Calgary Catholic School District with the names of any CBE and CCSD teachers who are speaking at convention and receiving an honorarium.
- GST
- Good and Services Tax (GST) charged by a Speaker who is being paid to present at the Event will be honored only if the Speaker has provided an Social Insurance Number (SIN) OR Business Registration Number to the CCTCA. GST will be paid on the full amount of the honorarium with an invoice.
- Successful applicants, who are organizations will be required to submit their invoice for their speaking engagement, with GST number during the contracting phase of session approval. This will be submitted using a secure site, templated invoice.
- Successful applicants, who are individual(s) speakers will be required to submit their SIN during the contract phase of the session approval. This will be submitted using a secure site.

- All handouts are the responsibility of the speaker. No additional funding will be provided. Speakers are strongly encouraged to upload documents into the registration system to share their documents with the delegates.
- One day of substitute coverage will be paid for by the CCTCA. Payment for substitute teachers will be made to school districts directly, not to Speakers.
- In regards to substitute payment, the CCTCA will not cover fees charged by boards including but not limited to pension and benefit payments. If you have any questions please contact CCTCA Treasurer at CCTCAtreasurer@gmail.com. Should a contract be offered, the Speaker must provide either (a) a social insurance number or (b) an invoice from an organization. This must be completed during the contracting phase of the approved session, a secured site will be offered to facilitate this process. IF this is NOT completed, the session may be cancelled and the offer to present withdrawn.
- This information will be used as required by the Canada Revenue Agency (CRA) to report income. If you have questions please contact the CCTCA Treasurer at CCTCAtreasurer@gmail.com.
- Invoices charging GST must include a GST business registration number.
- Where multiple Speakers are co-presenting, each individual speaker requesting payment must provide their social insurance number. Alternatively, one speaker or entity may receive payment for all presenters but the total honorarium will be reported to the CRA as income received by that individual or entity.
- Cheques will be sent by email two weeks post convention.
- Materials and Material Fees
- The Speaker must refrain from selling any materials or products or otherwise engaging in any promotional activity within the context of the sessions at which he or she is presenting. If a speaker chooses, he or she may contact their publisher to request that a booth be available for promotion of their books and materials. Booths can be booked through "Exhibits" menu on this website.
- If a speaker requires compensation for materials to enhance the session, the speaker MUST make the request in the application process and approved by CCTCA.
- The value of materials charged must be representative of materials used, no surcharging or administrative fees will be allowed. To receive compensation of the pre approved materials fees, the speaker will:
- submit an invoice for approved materials reflective of the number of registered participants.
- Payment will be made if the materials meet all conditions of the approval process.
- If materials were NOT approved by CCTCA all costs will be responsibility of the speaker.
- Cancellation
- The Speaker may cancel his or her appearance at the Event without penalty, provided that the Association receives written notice of such cancellation no later than 60 days prior to the Speaker’s first scheduled speaking engagement at the Event; or
- In the event that the Speaker’s cancellation is by reason of illness or bereavement, and the Association receives from the Speaker:
- written or verbal notice of such cancellation prior to the Speaker’s first scheduled speaking engagement at the Event;
- satisfactory confirmation, within 2 months of the conclusion of the Event, that an illness or bereavement in fact existed which necessitated the Speaker’s cancellation of his or her appearance at the
- Except as otherwise provided in this agreement, the Association will not be responsible for special, incidental or consequential damages in any circumstances, including circumstances arising from Association cancellation of the Event or the Speaker’s session(s) for any reason or at any time.
- If the Association cancels the Event or the Speaker’s session(s) with less than 60 days notice, the Association may deem to pays 50% of the honorarium or appearance fee that the Speaker would have received pursuant to this contract had the Event or session(s) not been cancelled.
- If the Association cancels the Event or the Speaker’s session(s) with more than 60 days notice, may, in its discretion compensate the Speaker for costs the Speaker incurred in preparation for the Event. This fee shall not exceed HONORARIUM outline in this agreement clause 3. Such compensation by the Association will not be construed to be a waiver of rights or otherwise estop them from relying on those rights.
- Professionalism in the workplace
All speakers must conduct themselves in a professional manner in accordance with ATA values.
- Collection and Use of Personal Information
The Alberta Teachers’ Association requires the information contained in session proposals in order to conduct its professional and business affairs and will collect, use and disclose the personal information about you accordingly. - MISCELLANEOUS
- The Speaker agrees to comply with applicable privacy legislation with respect to the collection, use, and sharing of the personal information of Event attendees. The Speaker also agrees that the Association may collect, use and disclose the Speaker’s personal information to the extent necessary to carry out the purposes for which the parties are contracting.
- The Association may, up to and until the conclusion of the Event, use the Speaker’s name and biographical material in promoting the Event, with all such advertising and promotional materials supplied by the Speaker.
- This Agreement constitutes the entire agreement between the parties as to performance of the services, and replaces and supersedes any other agreements, correspondence or other discussions between the parties, whether or not any of the foregoing have been reduced to writing. No modification of this Agreement is effective unless it is in writing and signed by all the parties.
- If any provision of this Agreement is determined to be void or unenforceable, in whole or in part, it shall not be deemed to affect or impair the enforceability or validity of any other provision of this Agreement, and any such void or unenforceable provision may be severed from this Agreement without affecting the remainder of the Agreement. The parties shall make, do, execute or cause to be made, done or executed all such further and other lawful acts, deeds, documents and assurances required to more fully give effect to the terms and conditions hereof.
